Workspaces

A workspace shows all content related to one object, for example, a customer. For example, you can open a workspace for a customer object to see everything connected to it, for example, projects, documents, and contracts, as tabs.

A workspace is like a house

You can think of each object in M-Files as a house. When you enter the object workspace, it is just like stepping into the house. Inside the house, there are rooms (tabs), and each room (tab) contains one type of related content. You can move from room to room without leaving the house.

Opening workspaces

If your vault administrator has configured Primary object views, they are shown first on the tab bar. These views show all objects of the selected type.

In any view, including Primary object views, do one of these actions to open a workspace:
  • Select an object from the listing area and then select Open workspace () from the taskbar.
  • Double-click a non-document object in a listing view.
  • Open the context menu for an object and select Open workspace ().

You can open a workspace for any object even if related content has not been specified yet. If the workspace is empty, you can add tabs to set it up.

If a tab shows objects that can be opened in a workspace, you can open those workspaces also. For example, if you open a customer workspace and go to the Projects tab, you can double-click a project to open a workspace for it. Use the back function to go to the previous workspace.

Setting up workspaces

To use workspaces, you need to add tabs to workspaces. This specifies what content they show. For example, project could show related documents, tasks, and people. It is recommended to do this in M-Files. Please make a note that everyone can add personal tabs, but only system admins or users with the rights Full control of vault or Manage common views and notification rules can add common tabs.

Alternatively, vault administrators can use the Object Type Properties section in M-Files Admin to the configure which objects types show related content. For more information, refer to step 13 in Creating a New Object Type in the classic M-Files Desktop user guide. After configuration, M-Files creates a view structure and shows this structure as tabs inside the workspace.
