User Management

In the User Management view you can invite new users and manage their roles in your organization.

Note: You must have user administrator rights to invite and manage users.

User types

In M-Files Ment, there are four user roles:

User role Description
Admin Full access. Can manage users, white-labelling, templates, and create documents.
Manager Can see all templates and create documents.
Author Can see only their own templates and documents.
User Can create documents.

Inviting users

To invite new users:

  1. Log in to your M-Files Ment account.
  2. Select the user icon in the top-right corner.
  3. Select a role for the user from the dropdown menu.
  4. Enter the user’s email address.
  5. Select Send invitation.

The user receives an email invitation to join your organization in M-Files Ment.

Creating users with allowed domains

Note: If your organization uses Single Sign-On (SSO) and you need to add many users , you can use the Allowed domains feature to automate user creation.

To configure allowed domains:

  1. Log in to your M-Files Ment account.
  2. Select the user icon in the top-right corner.
  3. Select Organization settings.
  4. Select the SSO tab.
  5. Select a provider from the Provider dropdown.
  6. Turn on Allowed domains switch. This limits the access to specific email domains.
  7. Select the role for new users from allowed domains.
  8. Enter a domain (for example: example.com).
  9. Select Add new domain.

When a user from an allowed domain logs in using SSO and does not yet have an M-Files Ment account, the system automatically creates the user and assigns the selected role.
