Sharing Public Links

You can share M-Files documents with temporary public links. This way, the documents are available to anyone who receives the link.

Ask your system administrator to enable or disable the Share Public Link feature and specific sharing options where necessary. For more information, see Configuration Options for Public Links.

Before you start, make sure that your M-Files system administrator has done these operations:
  • M-Files Web has been set up.
  • The M-Files Web home page has been specified in the Document Vault Properties dialog.

To create a public link:

  1. In M-Files, find the object that you want to share.
  2. Optional: Right-click the object and select History to share a previous version of the object.
  3. Right-click the object or the object version and select Share Public Link.
    Result:The Share Public Link dialog is opened.
  4. Select the target version.
  5. Use Expiration date (local time) to select the date and time after which the public link will not be active.
  6. Optional: In Description, enter a description.
    The description is shown in the Shared by Me dialog.
  7. Click Create Public Link.
    Result:The public link is added to the Public link field.
  8. Click Copy to copy the public link to the clipboard.
  9. Click Close.
You can now share the public link.

Managing and Removing Shared Public Links

In the Shared by Me dialog, you can manage and remove public links that you have shared. Users with the administrative rights Full control of vault or See and read all vault content can see and manage the public links shared by all vault users.

To manage and remove shared public links:

  1. In M-Files Desktop, click your username in the top-right corner and select Shared by Me.
    If you have the Full control of vault or See and read all vault content rights, you can also select Shared Files (All Users).
    Result:The Shared by Me dialog is opened and all the public links shared by you are shown.
  2. Do one or both of these operations:
    Click...To...
    Copy Link Copy a shared public link to the clipboard.
    Stop Sharing Remove a shared public link. In the confirmation dialog that is opened, click Yes.
  3. Click Close.
