User Types

Users are categorized into the following types:

  • Internal users are employees or organization members with specific roles and licenses, such as Access Admin. They are authenticated in the system and have detailed user information, including username, email, and license type. Access Admin users can allocate user licenses and edit other users and vaults, but they do not have access to the Shop or Licenses page, for example.
  • Application accounts are special user accounts that applications use to access M-Files. You can see and control these accounts in your M-Files environment. Application accounts include details such as license type, name, client ID, and vault GUID. For more information, see Application Accounts.

User states

At the subscription level, users are in one of these states:

  • Enabled user has an active login account in one or more vaults.
  • Disabled user has an inactive login account in one or more vaults. The login account can be enabled.
  • Detached user ID is a user account that is associated with a vault but is not linked to any login account. In general, M-Files does not recommend user accounts to be deleted. And even in this case, the user ID remains. Disabling accounts removes access but preserves the audit history of the vault activity.
