Configuring Email Notifications

Note: You must have organization-level admin rights to do this.

In M-Files Hubshare, all users in the organization can receive email notifications. You cannot edit the content of the notification emails.

There are two types of email notifications that all users can receive:

The organization-level admins can also receive email notifications about the remaining storage space in the organization.

To the email notification settings, click the user icon on the navigation bar and select Settings. Then select Administration > Email notifications.

Email notifications about actions in modules

Actions in modules are, for example, actions made in the Project and Files modules. Only the users themselves can select the actions from which they will get an email notification. For more information on where and how these actions can be selected, refer to Configuring Email Notifications in the M-Files Hubshare user guide.

Option Description
Send daily notification at, Send weekly notification on Use these settings to specify when the email notifications about actions in modules are sent to the members of your organization.
Show organization's name in email subject from Specifies if the name of the organization is shown in the email notifications.
Default notification frequency Specifies whether the email notifications about actions in modules are enabled by default when a user is created. Select Daily or Weekly to enable the notifications by default.

Email notifications about user account events

By default, M-Files Hubshare sends email notifications when these user account events occur:
  • A user account is created.
  • A user account is invited to a hub.
  • An external user account has been inactive for too long.

You cannot manage the email notification about user account creation. However, you can manage the email notifications about hub invitations and external user inactivity with these settings:

Event Option Description
A user account is invited to a hub. Email notifications > Options > Disable hub invitation notifications for users Specifies whether email notifications are sent when a user is invited to a hub. You can disable the notifications for all users or only internal or external users.
An external user account has been inactive for too long. External users > Options > Automatically disable inactive external accounts > Send email notification about account disabling Specifies whether email notifications are sent when an external user account has been inactive for too long. To enable this setting, Automatically disable inactive external accounts must be enabled.

For hub invitations, make a note of these remarks:

  • Hub invitation emails are sent when the hub status is changed from Design to Active.
  • Hub invitation emails are not sent to users whose user account is in Disabled state.

Setting up email notifications about remaining storage space

Your organization has a limited amount of storage space in M-Files Hubshare. You can see the remaining storage space in your your M-Files Hubshare contract information.

You can use the organization-level settings to specify when the organization-level admins are notified about the remaining storage space.

To set up the notifications about remaining storage space:

  1. On the navigation bar, click the user icon and select Settings.
  2. In the Administration section, select Email notifications.
  3. In the Options section, select a value for the setting Send email to organization-level admins about storage space.
  4. Optional: If you selected Use custom percentage, enter a number between 1 and 99 to the percentage field.
  5. Click Save.
